The registration form

A registration form is where most sign-ups are lost, and almost always because it asked for something nobody needed to know.

A registration form is the set of questions a visitor answers when booking or signing up. It always collects a name and a way to reach them, and often one or two extras: a dietary requirement, a session choice, a shirt size, a club membership number. Every field is a small cost to the person filling it in.

Which questions earn their place

A question earns its place if the answer changes something you do. A dietary requirement changes the order to the kitchen. A session choice changes the room allocation. A postal address, on a sign-up form for an evening talk, changes nothing and simply slows everybody down.

Ask per attendee only where it is genuinely per attendee. Asking a parent to enter the same emergency contact four times for four children is the sort of friction that ends with a phone call instead of a completed form.

The data you should not collect

Under European data protection rules you are expected to collect what you need for a stated purpose and no more. A dietary requirement can reveal health or belief, so it deserves a plain explanation of why you are asking and how long you will keep it.

The practical rule is simple enough. If you cannot say what you would do with an answer, do not ask the question, and if you do ask it, do not keep it once the event is over.

The form in Passavo

The checkout asks only for what is needed: a name, an email address and, optionally, a phone number. Per ticket type you can also ask for each attendee's name, so it appears on their own ticket.

Those names sit with each ticket in your admin and in today's list in the scanning app, so the door knows who is expected without anybody re-typing them from a mailbox.

Can we ask for each attendee's name?

Yes. Switch it on per ticket type and the checkout asks for a name on every ticket. The name then appears on the ticket and in your list.

How many fields is too many?

As a rule of thumb, anything beyond five fields shows in your completion rate. What you do not need on the day itself is better asked afterwards by email.
