The end-of-day report

An end-of-day report is the moment you stop selling and write down what happened, while everyone who knows anything is still in the building.

An end-of-day report closes off a period of selling and states what was sold, how much was taken, and how the money was split between cash and card. It is what a treasurer reconciles against the bank and the cash drawer, and it is the record that answers questions weeks later.

Why tonight rather than tomorrow

Memory is the only thing that can explain a discrepancy, and it does not survive a night's sleep. The float that was short, the refund given at the desk, the drinks paid for from the wrong tin: all obvious at eleven and unrecoverable by Tuesday.

Counting in the building also means the people involved are still there. A difference found the next morning turns into an accusation; the same difference found while everyone is packing up turns into an explanation.

What the numbers should say

Three figures matter. What the system says was sold, what the card terminal says it processed, and what is actually in the cash drawer once the float is taken back out. Two matching and one not tells you immediately where to look.

Record the float at the start as well as the end. A drawer that began with an uncounted handful of coins cannot be reconciled at all, however good the software is at everything else.

You close the till at the end of the evening and get a report of what was sold, split by payment method and VAT rate, with the difference between the cash you counted and the cash the till expected. The journal behind it can be exported per day for the treasurer.

Every report gets a sequence number and cannot be changed afterwards, so the figure you hand over is the one the till recorded rather than two versions somebody has to reconcile later in the week.
