Linking a payment terminal

Attach a Mollie card terminal, a Stripe card reader or a Worldline terminal to your till, so the amount appears on its screen by itself — in euros, dollars, yen or the currency of your country.

A payment terminal is the little device your visitor holds their bank card, phone or watch against. If you attach one to your till, the till sends the amount to it by itself. You do not type anything over, and the till sees by itself when the payment is done. Only then does it create the tickets.

Passavo works with three kinds of terminal:

Which one do you choose? Usually the one from the provider you already use for your web shop. If you do not sell in euros, it is a Stripe reader.

Already have a Worldline terminal, for example through your bank? If it is an Android terminal, it can work with the till. See further down.

Do you have a terminal from another bank, or a Worldline device that cannot be linked (such as a Yomani)? Then use "Card (standalone terminal)". You do not link that terminal. You type the amount into it yourself and tap The terminal shows approved in the till. That way the till works with any payment terminal. See A terminal that cannot be linked further down.

What you need beforehand

  • The Owner or Administrator role.
  • A desk device under Point of sale → Devices. How to create one is in Managing devices.
  • An active connection with Mollie or Stripe under Settings → Payments. See Connecting your payment provider. For a Worldline terminal you do not need this: you link it in one go with the details you receive from Worldline.
  • The terminal itself, plugged in and connected to wifi (or to a cable).

Which Stripe reader do you buy?

Buy a reader that is connected to the internet itself. It gets the amount straight from Stripe, without an app or a cable to your tablet:

  • Stripe Reader S700 — a device with a large touchscreen, for on the counter or in the hand. Wifi, or a cable with the optional hub.
  • Stripe Reader S710 — the same, with a SIM card for 4G. Handy on a site without good wifi.
  • BBPOS WisePOS E — a smaller device with a touchscreen, wifi.

You order the reader in your Stripe Dashboard, under Terminal, when ordering hardware. Which models you see depends on your country.

Do not buy a Bluetooth reader (Stripe Reader M2, BBPOS WisePad 3). Those only work with an app that drives them over Bluetooth, and not with the till.

In which countries and currencies

Stripe only lets a reader take payments in the currency of your Stripe account's country, and the reader must be in that same country. So the currency of your organisation (under Settings → Organisation) must be the same. More about your organisation's currency is in Selling in another currency or another country.

In Bulgaria, Croatia, Cyprus, Estonia, Hungary, Latvia, Liechtenstein, Lithuania, Malta, Romania, Slovakia and Slovenia, Stripe only supplies the S710. In France there is no WisePOS E, in Japan only the S700. Stripe changes that list now and then: check in your Stripe Dashboard what you can order.

Linking a Stripe reader, step by step

Step 1 — switch the reader on

Switch the reader on and connect it to your wifi. With a new reader, the screen guides you through that itself.

Step 2 — read the registration code

After starting up, a new reader shows a registration code by itself: three words with hyphens in between, such as apple-banana-lemon. Write them down.

No code? Swipe in from the left edge of the screen, tap Settings, enter the admin code 07139 and choose Generate pairing code.

Step 3 — attach the reader to the device

  1. Go to Point of sale → Devices.
  2. Click Link a terminal next to the desk device.
  3. Under Payment provider, choose Stripe.
  4. Under Registration code of a new reader, fill in the three words.
  5. Leave Stripe location empty. We then create a location at Stripe with the address of this device's venue. If you already have a location in Stripe for that place, choose it.
  6. Is your venue in the United States, Canada, Australia, Italy, Spain or Japan? Then also fill in State or province.
  7. Click Pair.

You see Reader registered and linked, and the reader's name is in the Terminal column. The reader itself now shows that it is ready.

Have you already registered the reader in your Stripe Dashboard? Then you do not fill in a code, but choose it under Reader that is already registered.

Linking a Mollie terminal

  1. Order the terminal in your Mollie Dashboard and switch it on. Mollie delivers it ready to use.
  2. Go to Point of sale → Devices and click Link a terminal next to the desk device.
  3. Under Payment provider, choose Mollie and choose the terminal under Payment terminal.
  4. Click Pair.

Which Worldline terminals work?

The till talks to your terminal through Terminal API, a Worldline service in the cloud. It works on Worldline's Android terminals that have the Terminal API app, such as the Saturn 1000 (the P, or the F2 with PIN pad) and the S1U2. If the app is not there yet, you get it from the SmartPOS Store on the terminal itself.

An older terminal without Android has no SmartPOS Store, so it cannot get the app. Not sure? Ask Worldline.

What do you ask Worldline?

Email Worldline (terminalapi@worldline.com) or your contact at Worldline, for example like this:

I would like to use my Worldline terminal with a cloud till. Could you activate Terminal API Cloud for my terminal, and send me the API key, my UMID and the terminal's UTID?

You then receive three things:

  • the API key: a long code. Keep the email somewhere safe, or delete it once you have entered the key;
  • the UMID: the number of your merchant account with Worldline;
  • the UTID: the number of your terminal. If you have several, each terminal has its own UTID.

Want to test first? Then also ask for a test terminal and a key for the integration environment. Test there with an amount that has decimals, for example € 12.34: a round amount sometimes triggers a test error in the test environment.

Step 1 — switch Terminal API on at the terminal

  1. On the terminal, open the Terminal API app. Not there? Swipe up from the bottom, open the SmartPOS Store and install Terminal API cloud.
  2. Enter the UMID and the UTID. Check them carefully: with one wrong digit the terminal gets no connection.
  3. Choose the environment: PRODUCTION for real payments, INTEGRATION for a test terminal.
  4. Turn on the switch next to Terminal API. The cloud icon next to it turns green.

Step 2 — attach the terminal to the device

  1. Go to Point of sale → Devices.
  2. Next to the desk device, click Link a terminal.
  3. Under Payment provider, choose Worldline.
  4. Enter the Terminal UTID.
  5. Enter the Merchant UMID and the Worldline API key. The till only asks for these the first time; for a second terminal the UTID is enough.
  6. Under Environment, choose the same one as on the terminal: Production or Test.
  7. Click Pair.

We check the key and the UMID with Worldline straight away, and store the key encrypted. If everything is right, you see Terminal linked. If you see Terminal linked, but not connected right now, the terminal is off or Terminal API is not active: look at the cloud icon in the app.

You do not need to connect Worldline under Settings → Payments: the terminal is only for the till. Your web shop keeps taking payments through your usual payment provider.

During a payment, the visitor can also cancel on the Worldline terminal itself. The till sees that by itself.

Taking payment with the terminal

  1. Ring up the products in the till and choose Card.
  2. The amount appears on the terminal. The till waits.
  3. The visitor holds their card, phone or watch against the terminal, or inserts their card.
  4. Once it is paid, the till creates the tickets and you can print the receipt.

If the visitor does not want to pay after all, they can tap Cancel on a Stripe reader themselves. You can also cancel in the till. If the visitor had already presented their card, the till waits until the terminal says how it ended: that way you never sell tickets without money, and nobody pays without a ticket.

If two tills stand side by side, each till has its own terminal. The amount always goes to the right device.

Refunding

If you reverse a sale that was paid by card, the money goes back to the visitor's card, through Mollie or Stripe. So give nothing back in cash from the drawer. See The counter till.

With a Worldline terminal, the refund happens on the terminal itself. If you fully reverse a sale before the payment has been settled (usually on the same day), the terminal cancels it. If the terminal is in standalone mode, it asks for the terminal password. If cancelling is no longer possible, or you refund only part, the terminal asks the visitor to hold their card against it again. So keep the visitor at the desk for a moment.

What if …

What if the till says the reader is offline?

The reader has no internet. Check that it is switched on and connected to the wifi. On an S700 or S710 you find a test under Settings → Diagnostics that says whether it can reach Stripe.

What if the till says the reader does not take payments in my currency?

Then your organisation sells in a different currency from that of your reader's country. A Stripe reader in the Netherlands only takes payments in euros, a reader in the United States only in dollars. Check the currency under Settings → Organisation.

What if I see "the Stripe account is in another country"?

Your Stripe account and the reader's location must be in the same country. Change the address of the device's venue, or choose a Stripe location in your account's country.

What if the list of terminals is empty?

Then there is no active connection with Mollie or Stripe, or you sell in a currency in which that provider has no terminal. A Mollie terminal only takes payments in euros.

What if the card is declined?

The till reports that the payment did not succeed. The basket stays: choose Card again for another card, or another payment method.

What if the till says the Worldline terminal is not connected?

The terminal is off, has no internet, or Terminal API is not switched on. Open the Terminal API app on the terminal: the cloud icon must be green. Also check that the UTID in the app is the same as under Point of sale → Devices.

What if Worldline does not accept the API key?

Check that you pasted the whole key, without a space before or after it. Also check the environment: a test key does not work in production, and vice versa. Then click Link a terminal again with the right key.

What if the till keeps waiting for a Worldline terminal?

The till asks the terminal itself how the payment went, and gives up after five minutes without an answer. Meanwhile, look at the terminal. If it says the payment went through while the till does not see it, do not let the visitor pay again, and check the payment in your Worldline overview.

A terminal that cannot be linked

Do you already have a terminal that cannot work with the till, such as a Worldline Yomani or a device from your bank? Then you do not need to link anything. You use Card (standalone terminal):

  1. The owner goes to Settings → Payments and, at the bottom, ticks Show the Card (standalone terminal) button at the till.
  2. At the till you tap Card (standalone terminal). The till shows the amount.
  3. Type that amount into your terminal and let the visitor pay.
  4. Does the terminal show approved? Then tap The terminal shows approved. The till creates the tickets.

If you like, add the last 4 digits or the ticket number from the terminal. That way your accountant easily finds the payment on the statement.

In the Z report this revenue appears separately, as Card (standalone terminal). You make a refund on the same terminal. There is more in The counter till.

Frequently asked questions

Can I use a terminal from my bank? If it is a Worldline Android terminal, you can link it: see Linking a Worldline terminal above. Any other terminal from your bank you use as Card (standalone terminal): you type the amount into it yourself and confirm in the till that the terminal shows "approved". See A terminal that cannot be linked above.

Can I take payments with the iPhone or Android phone itself, without a reader? Not yet. At the till you need a Stripe reader or a Mollie terminal.

What does a card payment cost? Your provider charges the costs per payment, according to its own rates. You buy the terminal or reader from Mollie or Stripe.

Can I have a Mollie terminal and a Stripe reader on one device? No, one terminal per device. The device next to it may have a different one.

Can I use the Worldline terminal I already have? Yes, if it is a Worldline Android terminal that can run the Terminal API app. Ask Worldline to activate Terminal API Cloud; see above.
