Switching on cashless for an event

What cashless per event costs, how to switch it on and pay for it, and what happens if your event grows bigger than planned.

With cashless, your visitors put money on their ticket and pay with it at the bar. How that works at the till is explained in Bar balance on a pass. This article is about something else: when cashless is on, what it costs and how you pay for it.

In short

  • Are you on the Pro plan? Then cashless is included. You don't need to do anything.
  • On any other plan, you switch cashless on per event. You pay once for that one event.
  • The price depends on the number of paid tickets for that event.
  • If your event grows bigger than planned, cashless simply keeps working. You only pay the difference afterwards.

You pay once per event, not per month and not per visitor. We don't take a percentage of what your visitors top up either: that money is yours.

Free tickets don't count. Only tickets you charge money for go into the counter.

Running lots of events with cashless? Then the Pro plan is often better value: cashless is included for all your events. You choose your plan under Subscription.

Switching cashless on

  1. In the back office, go to Sales → Events and open your event.
  2. At the top you can see where cashless stands, for example "Cashless for this event: off."
  3. Click Switch on cashless for this event — €49.00. The amount on the button depends on the number of paid tickets you have already sold.
  4. Under Tier, choose how big your event will be. By default, it shows the tier that fits what you have sold so far. Expecting more? Choose a bigger tier right away.
  5. Click Go to payment and pay by card.

As soon as the payment is in, cashless is on for this event and you receive the invoice by email. The top of the event then shows "Cashless for this event: on".

Can't see the button? Then your account is not allowed to make purchases for your organisation. Ask the owner or an administrator with access to the settings.

Already clicked the button but didn't pay? Then an invoice is waiting. Click the button again: you carry on with that same invoice, you don't get a second one.

Which tier should you choose?

Choose the tier that fits the number of paid tickets you expect, not the number of visitors. An example: your fundraising dinner sells 180 paid tickets and children get in free. Then you choose up to 250.

Not sure? Choose today's tier. If it gets busier, you only pay the difference later. So you never pay the full price twice.

My event is growing bigger than planned

That's good news, and it changes nothing at your bar.

  1. Cashless simply keeps working. Topping up, paying with the pass and the balance in the wallet all carry on. We never shut a till down in the middle of an event.
  2. You receive one email telling you that your event has grown.
  3. An invoice is waiting for the difference between what you already paid and the new tier.

An example: you paid €49 for the tier up to 250. Your event ends up with 300 paid tickets. Then you pay €50 extra for the tier up to 1000, not €99 again.

You pay the difference on your event's page, with the button Pay the difference — €50.00.

The highest number of paid tickets counts. If tickets are refunded afterwards, we don't refund anything.

What do you see when cashless is not on?

  • At the till there is no + Top up balance button. Instead it says "Top up balance: cashless is not switched on yet", with a link to this article.
  • If you scan a ticket for an event without cashless at the till, you see "Cashless is not switched on for this event." with the link Switch on cashless. There is then no amount to enter and no button to pay with the pass.
  • On your visitors' wallet pass no balance is shown.

If there was already a balance on a pass, you can always still give it back in cash at the till. That money belongs to your visitor.

Frequently asked questions

Do I have to buy cashless again for every event? Yes, if you are not on Pro. Cashless is tied to one event. An event you organise again next year is a new event.

My event has an adult ticket and a child ticket. In the back office, every ticket type is its own event with the same date. Switch cashless on for the ticket type your visitors pay with at the bar. If in doubt, send us an email; we'll work it out together.

Do I get an invoice? Yes, an ordinary invoice with VAT, just like for your subscription. You can also find it under Subscription.

What if I switch to Pro later? Then cashless is included in your plan for all your events. What you already paid stays paid. No top-up is added after that.

Does topping up itself cost anything? No. What your visitors top up goes straight to your account with your own payment provider. Passavo keeps nothing back.
