Looking up tickets
Finding one ticket again by code, name or order number, seeing whether it has already been scanned, and showing the QR code on your screen.
Somebody is standing at the desk and says: "I have a ticket in the name of Vermeulen". Somebody else reads out a code from their email, or swears they have not been in yet. For all those questions there is the Tickets screen: a list of every ticket you have sold, made for searching in.
This screen is for searching and looking. Resending a ticket email, correcting a name or cancelling a ticket is done on the order itself; exactly where is at the bottom of this article.
What is a ticket again?
A ticket is the proof of entry for one person, with its own code and its own QR code. Whoever books three adults gets three tickets, because three people go through the door and each of them is scanned separately.
Tickets come into being by themselves with every paid order, in your ticket shop or at the desk. You never create them by hand; that is also why there is no button in this screen to add one. The difference between an order and a ticket is explained in Following up orders.
Season passes and gift vouchers are not in this list. They have screens of their own: Season passes and Gift vouchers.
What you need beforehand
- The Owner, Administrator or Desk role. Those three may look up tickets. The Scanner role may not: it does not see this screen.
- For the Show QR button: the Owner or Administrator role.
- A code, a name or an order number to search for.
Step 1 — Opening the list
In the left-hand menu, click Tickets. The newest ticket is at the top.
| Column | What it shows |
|---|---|
| Code | The start of the ticket code. There is a small copy button next to it |
| Name | The name on the ticket. A dash means there is no name on it |
| Order | The order number: ORD-… for your ticket shop, POS-… for the desk |
| Product | What was bought, for example Adult admission |
| Valid on | The day on which the ticket gives entry |
| Status | Whether the ticket may still go through the door — see the table below |
| Scanned on | Date and time at which it was scanned at the entrance. A dash: not scanned yet |
The status tells you what the scanner at the door will do:
| Status | What it means |
|---|---|
| Valid | May go in on the day shown under Valid on |
| Used | Has already been scanned; the time is shown under Scanned on |
| Cancelled | Has been withdrawn; the scanner refuses it |
| Refunded | Belongs to an amount that was paid back; the scanner does not let this ticket in either |
Only a ticket on Valid gets in.
Step 2 — Finding a ticket
Above the list there is a search field. In it you search on three things at once:
- the code of the ticket — the first few characters are enough;
- the name on the ticket;
- the order number.
If there are no names on your tickets (because you do not ask for them), searching on a name finds nothing here. In that case search under Orders on the buyer's name and look in the Tickets table of that order.
Next to the search field is the funnel icon for the Filters:
| Filter | What you use it for |
|---|---|
| Status | Show only the valid ones, or just the used or cancelled ones |
| Valid today | Only the tickets for today — handy on a busy day |
Then click Apply filters. Filters and searching work together: search on a name with Valid today switched on, and you see only that person's tickets for today.
Step 3 — Showing the QR code on your screen
Every ticket has a Show QR button. It opens a window with the QR code, and below it the product, the name, the day, the status, the order number and the full code.
That is handy when:
- a visitor is standing at the door with a flat phone or without their email — let the scanner scan the QR from your screen;
- you want to try out the scan app before your first visitors arrive.
Note: this is the real ticket. If you scan that QR, the ticket is then on Used, and the visitor can no longer get in with it themselves. So test with a ticket you bought yourself, not with a visitor's.
You only see the button with the Owner or Administrator role. It is not there for the desk, because that QR really gives entry.
The code in the Code column is not the QR code itself. With that code you find a ticket again, but nobody gets in with it. So you can safely read it out or put it in an email.
What you do not do here, and where you do
This screen changes nothing about a ticket. For any action, go to the order: copy the order number from the Order column, click Orders in the menu and paste it into the search field.
| You want to … | Where |
|---|---|
| email the tickets again | On the order, button Resend the ticket email — see Following up orders |
| correct a name on a ticket | On the order, in the Tickets table: Change the name |
| make a ticket invalid | On the order, in the Tickets table: Cancel the ticket |
| pay money back | On the order — see Cancelling and refunding |
Only an Owner or Administrator may take those actions.
What if …
What if a ticket is on "Used" while the visitor has not been in yet?
Look at Scanned on. Nine times out of ten somebody from the same group has already gone in with the same screenshot. If the time is well before your visitor arrived, you know enough.
What if I find nothing?
Try a different search term: the order number from the confirmation email is the surest. If that finds nothing either, search under Orders. An order that has not been paid yet has no tickets yet — so they are not here either.
What if I do not see the "Show QR" button?
Then you probably have the Desk role. Ask an owner or administrator to show the QR, or to change your role. See Staff and roles.
Frequently asked questions
Can I create a ticket here? No. A ticket comes from a paid order. If you want to give somebody a ticket, sell it at the desk; see The counter till.
Why do I only see part of the code? The list only shows the start, so that everything fits on one line. The full code is in the Show QR window, and the small copy button also takes the full code with it.
