Your plan, your invoices and pausing

What the plans cost, how you choose or pause one, how you pay, and which VAT appears on your invoice.

Your plan, your invoices and pausing

This article is about what you pay us. What your visitors pay you and what your payment provider keeps back from that is in Payout and costs.

What the coloured bar at the top of your screen means, and what to do about it, is covered in Your plan and your limits.

Your whole subscription is on one screen: Subscription in the left-hand menu. There you see which plan is running, what it costs, how you stand against your limits, and your invoices.

The Subscription page, with your plan, your limits and your invoices

What you need beforehand

  • The owner role to change anything: switching plan, cancelling, pausing or setting up your automatic payment.
  • The admin role is enough to open this page, view and download your invoices, and pay an outstanding one. Handy for your treasurer or your accountant.
  • For a paid plan: a means of payment. You enter it on our payment provider's secure screen; which methods appear there depends on your country.
  • The VAT number of your organisation, if you have one. Fill it in under Settings → Organisation before you choose a paid plan; it determines which VAT appears on your invoice. See Your invoices and VAT below.
  • Your billing address, likewise with your organisation details.

Switching plans

Click Change your plan, choose a plan and whether you want to pay monthly or yearly. The new price applies from your next invoice; nothing is settled over the current period.

Upgrading and downgrading sit in the same button, because it is the same thing. If you go back to the free plan, the billing stops immediately.

If you pay yearly, you pay for ten months instead of twelve.

Your payment method

Your subscription is collected automatically. To change cards, click Change payment method under Payment method. You land on our payment provider's secure screen; we never store your card details ourselves.

If a payment fails we try again and you get a reminder. If the invoice stays open, your shop stays online but selling pauses — nothing is ever deleted, and everything switches back on the moment you pay.

Your invoices and VAT

At the bottom of the Subscription page are all your invoices: number, date, amount, VAT treatment and status. Every invoice has a PDF button, and a UBL button for your accountant — that is the electronic invoice they can import straight into their bookkeeping software.

Your invoice comes from Fades Management EOOD, a Bulgarian company. That is what the VAT hangs on.

All prices on our site are exclusive of VAT

What gets added depends on your country and your VAT number. On a plan of €29 a month:

Your situation VAT You pay
You have a valid European VAT number 0 % — reverse charge €29.00
You have no VAT number (most non-profits and unincorporated associations) 20 % Bulgarian VAT €34.80
Your organisation is in Bulgaria 20 % €34.80
Your organisation is outside the EU 0 % — export of services €29.00

Without a VAT number, 20 % is added. That is not an extra charge from us; it is VAT we have to hand over. A non-profit or an unincorporated association usually has no VAT number, so it pays €34.80 where a company with a valid number pays €29.00.

Entering or changing your VAT number

You can enter it when you register; later it lives under Organisation → Settings. We check it against VIES, the European Commission's VAT database. Only a number VIES knows gives you the reverse charge — a mistyped number does not count, however right it looks.

We check again when the previous check is more than a month old. If VAT suddenly appears on your invoice while you did enter a number, that is the first thing to look at.

If VIES is down when you enter your number, nothing changes to what was already there and your registration carries on.

Pausing in your quiet months

Do you organise a dinner event in March and a quiz in October, and are you idle in between? Then you do not have to pay for those months. Click Pause.

What happens during a pause:

  • you get no more invoices. Nothing is added for as long as you are paused;
  • all your data stays — your products, your prices, your sold tickets, your shop and your staff;
  • you carry on working on the free plan. That means: no desk till, no poster ticket in the wallet, and the ticket cap of the free plan. Anyone who is not selling for a while notices nothing of it; anyone who does want to sell simply resumes.

Resuming is one click and takes effect immediately: all your features are back on, and your next invoice covers the month that then starts.

What you should know about it

  • Per calendar year at least three months are invoiced. So you can pause for up to nine months a year. Once those are used up, your subscription runs again by itself.
  • A yearly subscription cannot be paused: it has already been paid in advance, and you have already had two months' discount on it.
  • On the Subscription page you always see how many pause months you have left this year.

Your ticket cap: per event

On the free plan every event sells up to 100 paid tickets. Not a hundred a year, but a hundred per event — so you may organise as many as you like. Three dinner events of eighty covers cost you nothing.

Free events never count, however many registrations you get. The cap is only about tickets you charge money for.

One event is one product: a one-off event with a date, or a series with time slots. Every event has its own counter, and it does not start again on 1 January.

What if an event goes over the 100?

Your sale simply carries on. We do not shut down a dinner event that is happening tonight. You get an email and a message at the top of your screen:

This event is over 100 paid tickets: pay €19 to carry on selling.

You then have two weeks to decide. If you do nothing, only the sale of paid tickets for that one event stops afterwards — your other events simply carry on, free registrations keep working, and nothing is ever deleted.

Paying for one event separately: €19

On the Subscription page, under Your events, there is a Pay for this event button. For a one-off €19 that event sells unlimited paid tickets.

  • no subscription. Nothing starts running and no card is kept on file; you pay once and that is that;
  • you get an ordinary invoice for it, just as for a subscription, with the same VAT rule;
  • paid stays paid, next year as well. An event you have unlocked never has to be paid for again.

Under Paid events on that same page you see which events you have paid for, when, and with which invoice number.

A maximum of two separately paid events a year

Note: you can pay separately for at most two events per calendar year. From your third large event in the same year, a plan belongs with it.

Why that limit is there, in plain terms: the €19 button is meant for the pancake supper and the charity night — for the association that goes over a hundred tickets once or twice a year. Anyone organising six large events a year is no longer an occasional seller, and then a plan belongs with it rather than six times nineteen euros.

You can see it coming: at your second separately paid event the message appears once to say that you have reached your maximum, with the suggestion to switch. Nothing happens to your sale at that moment.

What happens to your two paid events when you switch: nothing. They stay paid, next year as well, and you get nothing back for them — you have used them, after all.

On 1 January the counter of two starts again.

When is a plan cheaper?

From your third large event in the same year, and that is also the moment when a plan belongs with it. With Start (€9 a month or €90 a year) the cap per event disappears entirely and you sell up to 3,000 paid tickets a year. The panel says so itself, once, when the time comes.

Work it out for yourself: two separately paid events cost you €10 a year, and that is cheaper than any plan. From the third one it no longer is.

Is there a mention of us on my shop?

Yes, a small one, at the bottom of the ticket shop, on your tickets and in your emails. It disappears from your paid events as soon as you are on Pro.

On Start and Growth it stays. You do get your own colour and your own logo there — so the shop is entirely yours, with a small line at the bottom.

With free events the mention always stays, on Pro as well. If you ask nothing of your visitors, you pay us nothing for that event either; in that case it may say where the registration comes from.

Cancelling

You are not tied to anything. Click Cancel under Payment method. You keep everything until the end of your running period; after that you fall back to the free plan.

Your shop, your tickets and your data stay put — nothing is deleted, and you can export it. Changed your mind? Let us know before that date and we will undo it.

Commonly made mistakes

Only filling in your VAT number after your first invoice. There is then VAT on it that did not have to be there, and putting that right afterwards is cumbersome.

Leaving a departing treasurer's card in place. Replace the means of payment with Change payment method as soon as somebody leaves the committee.

Pausing and then wanting to sell after all. During a pause you work on the free plan: no desk till, and the cap of a hundred paid tickets per event.

Thinking that a yearly subscription can be paused. It cannot; you have already had two months' discount on it.

Taking a bigger plan for one busy event. Pay for that one event for €19. That is possible twice per calendar year: you pay once, nothing starts running and there is nothing to cancel afterwards.

Counting on a third separately paid event. That does not work: there are two per calendar year. If you see a third large event coming, take a plan in good time rather than discovering on the night itself that it cannot be done.

What if …

What if my card is declined?

You get a message about it, and we try again. In the meantime, put a different means of payment in place with Change payment method. Your sale does not stop at the moment of one failed deduction.

What if I switch in the middle of the month?

The new price applies from your next invoice. Nothing is settled over the current period — not in either direction.

What if my association does not want a card in one officer's name?

Look at which methods appear on the payment screen: in many countries you can also set up a deduction from the association's own account. If it is not there, write to us — we will look at what is possible for your country.

What if I have a third large event this year?

Then you take a plan. Separately paid events are limited to two per calendar year, and from the third one Start is cheaper anyway than what you would spend on separate events. Your two already paid events stay paid.

What if I need an invoice at a different address?

Update your billing address with your organisation details. The change applies to your next invoice.

Frequently asked questions

Do I pay anything per ticket sold? No. There is no amount per ticket and no percentage of your revenue.

Does the free plan ever cost anything? No. It is permanent and there is no card against it.

Do I get an invoice on the free plan? No. Only a paid plan or a separately paid event produces an invoice.

Why is there Bulgarian VAT on my invoice? Because the company behind the platform is established in Bulgaria and you have not given a valid VAT number. With a VAT number the VAT is reverse charged and it says 0%.

How many events can I pay for separately? Two per calendar year. From your third large event in the same year you take a plan; from that point Start is also cheaper than separately paid events.

Can my accountant get at my invoices? Yes: give them the admin role and they find them under Subscription → Invoices, or forward them yourself. Every invoice has a PDF and a UBL file — the latter they import straight into their bookkeeping software. They can also pay an invoice that is still outstanding. Switching plan, cancelling, pausing or setting up your automatic payment they cannot: there they get one sentence saying that only an owner does that.
